Alan Orr Wing Chun Academy (“we”, “us”, “our”) respects your privacy. This Privacy Policy explains what information we collect about visitors, students, and prospective students (“you”) when you use alanorrwingchunacademy.com (the “Site”), attend classes or events, and interact with us - plus how we use, share, and protect that information.

1) Information We Collect

We collect information in three ways: (a) you provide it; (b) it’s collected automatically; (c) we receive it from third parties.

a) Information you provide

Contact & enrollment data: name, email, phone, emergency contact, age/date of birth (if relevant), training goals, and preferences submitted via forms or during enrollment.
Booking & purchases: class bookings, memberships, passes, and payment details (processed by our payment provider—see Section 6).
Communications: emails, messages, feedback, testimonials.
Images & media: photos or videos from classes/events. We’ll always respect opt-out requests where feasible.

b) Information collected automatically

Device & usage data: IP address, browser type, device identifiers, pages viewed, links clicked, time spent, and referring URLs.

c) Information from third parties

Booking systems: Wix
Payment processors: Stripe
Analytics & marketing tools: Google Analytics
Social platforms: if you interact with our profiles or embedded posts.

2) How We Use Your Information

We use your information to:

Provide and manage classes, memberships, and events.
Process bookings, payments, and account administration.
Communicate about schedules, updates, promotions (you can opt out anytime).
Improve the Site, services, safety, and customer experience.
Comply with legal obligations and enforce our terms.
Publish photos/videos to showcase training, with consent/opt-out options.

Legal bases (for UK/EEA visitors): performance of a contract, legitimate interests (e.g., running and improving the academy, ensuring safety), legal obligations, and consent where required (e.g., marketing, certain cookies).

3) When We Share Your Information

We don’t sell personal information. We may share with:

Service providers/processors: website host, email service, booking system, payment processor, analytics and security tools—strictly to help us run the academy.
Legal & safety: to comply with laws, respond to lawful requests, or protect rights, safety, and property.
Business changes: in a merger, reorganisation, or transfer, your data may be part of the transaction (you’ll be notified where required).

4) Data Retention

We keep personal information only as long as necessary for the purposes above:

Student/booking records: for the period of enrollment plus 5 years to handle queries, tax, or legal requirements.
Marketing data: until you unsubscribe or request deletion.
Site analytics data: per provider defaults or 12 months, where configurable.

We securely delete or anonymise data once no longer needed.

5) Cookies & Similar Technologies

We use cookies and similar technologies to run the Site and understand how it’s used.

Strictly necessary: required for site functionality and security.
Performance/analytics (optional): Google Analytics to understand traffic and improve the Site.
Marketing (optional): Google Ad cookies to measure campaigns.

You can manage cookies via your browser settings and (where implemented) our Cookie Preferences tool. Disabling certain cookies may impact Site functionality.

6) Payments

We use third-party payment processors, Stripe, to handle transactions. We do not store full card numbers on our servers. Your payment data is processed per the provider’s security standards (e.g., PCI DSS). See the provider’s privacy notice for details.

7) Booking & Communications Tools

If you book or reschedule classes through Wix, your details are processed by that provider to manage your reservation.
If you subscribe to updates, we may use Wix to send newsletters or announcements. You can unsubscribe at any time via the link in our emails.

8) Photos, Video & CCTV

Training photos/videos: We may capture images during classes or events to document academy life. Tell a coach or contact us if you prefer not to be photographed; we’ll do our best to accommodate.

9) Children & Young People

We welcome younger students with appropriate consents. If you are under the age of 15 years old, please ensure a parent/guardian provides any required consents. If we learn we have collected personal information from a child without appropriate consent, we will delete it.

10) International Transfers

Your information may be processed in countries other than where you reside (e.g., by global service providers). Where required, we use appropriate safeguards (such as standard contractual clauses) to protect your data across borders.

11) Your Rights

Depending on your location, you may have rights to access, correct, delete, or restrict the use of your personal information, and to object to certain processing or request portability.

14) Changes to This Policy

We may update this Privacy Policy from time to time. We’ll post the new date at the top and, if changes are significant, provide a more prominent notice.
